AC-REG-PRO-003 Academic Standing Procedure
Department: Academic/Registrar
Approval Date: January 20, 2023
Effective Date: January 20, 2023
Organizational Scope
The procedure applies to all full-time and part-time students in all programs offered at The Michener Institute of Education at UHN (“Michener”). It also applies to non-academic violations such as, but not limited to, violations of the Michener Community Rights and Responsibilities.
Purpose
At Michener, academic standing is an indication of a student’s academic achievement and professional conduct in a course or program guided by our established standards. Academic standing will determine the student’s eligibility to:
- continue in a program at Michener,
- repeat a semester,
- graduate.
The following processes are designed to assist faculty members and students to understand the Academic Standing Policy and how a student’s academic standing is established. It is understood that all information related to this procedure will be treated and maintained in a confidential manner respecting the privacy of all parties involved.
Process
- Academic Standing is identified by the Registrar and is based on the student’s academic performance as reflected in their official student record at the end of each academic term. This is deemed to be the student’s term GPA. The final grade upon which academic standing is based is the original grade assigned at the end of a course or otherwise established post-grade reassessment, post-supplementary assessment, and/or post-appeal.The Academic Standing categories are as follows: *
- Academic Standing
- Probation Standing
- Academic Suspension
- Permanent Withdrawal
* For more information about these categories, please see the Academic Standing Definitions in the Academic Standing Policy.
On pre-set dates at the end of each semester, or as required, the Promotions Review Committee (PRC) will review final course grades as per the PRC Terms of Reference. The PRC is responsible for informing the Registrar’s Office regarding matters relating to student grades and academic progress.
The program (faculty and academic chair) determines student eligibility for supplemental activity:
- Automatic supplemental activity is granted for first-time, single-course failure with an overall course mark no more than 10% below the passing grade.
- Supplemental activity for any other course failure is considered on a case-by-case basis.
- The PRC reviews course failures that do not receive supplemental activity and determines the student’s academic standing.
- The Program and PRC reviews include academic record and performance, attendance, participation, previous failures, and extenuating circumstances.
Successful completion of supplemental activity will be awarded the minimum pass grade for the course, followed by an “S” (i.e., 60(S) or a Pass (S)). Course Outlines will clearly state the minimal grade requirements to pass.
Students who fail a supplemental activity will receive their original failing grade (F) for the course and will have this result reflected on their academic record.
Academic standing will be determined based on the original final grades or the grades post-supplementary or academic appeal, as appropriate for each student.
Students who return from academic suspension will return on Probation.
